Clever Setup Guide
For district technology teams. Most of the setup happens in your Clever dashboard; Melaa confirms the connection on our side.
What the integration does
- Single sign-on: staff sign in with Clever. No separate passwords.
- Nightly roster sync (Clever Secure Sync): schools, students, teachers and other staff, class sections, and enrollments flow from your SIS through Clever to Melaa, so teacher rosters stay current without manual upkeep.
- What does not flow through Clever: English proficiency levels and ACCESS scores (Clever has no field for them). Your Melaa admin uploads ACCESS scores separately (step 5). Melaa never requests special-education, Section 504, disability, or lunch-status fields, and never ingests parent or guardian records.
Before you start
- A Clever district administrator login for your district's Clever dashboard.
- A Melaa district account with an owner/admin login. If your district doesn't have one yet, contact us and we'll set it up first.
- If your district web filter blocks newly registered sites, allowlist melaa.app so staff devices can reach the application.
Step 1 - Authorize Melaa in Clever
- Your Melaa admin will find the link to Melaa's Clever application page in Admin → Settings → Connect with Clever, or we can send it to you.
- Sign in as a Clever district administrator and authorize the app for your district.
Step 2 - Choose what to share
- Share your English learners with their sections and teachers. In Clever's sharing settings, a Custom Share by Student on ELL status (including the students' sections) is the recommended rule. Melaa ingests only what you share.
- Allow the EL status and home language fields. In Clever these are sensitive fields your district opts into. Melaa asks for these two and no other sensitive field.
- Share Melaa with the staff who should sign in: ELD/ML staff and the classroom teachers of multilingual learners. Students do not need it.
Why share English learners with their sections, rather than the whole district. Melaa builds each teacher's roster from class enrollments, so sharing your English learners with their full schedules is what lets a classroom teacher (their biology or English teacher, say) see the English learners in their class, and only those students. Sharing the entire district would bring in every student, which is more data than Melaa needs or than your data-privacy agreement covers. If your district shares more than that anyway, your Melaa admin can turn on Only import multilingual-learner students, which uses the EL status field to leave everyone else out.
Step 3 - Melaa confirms the connection
- Your Melaa admin goes to Admin → Settings, clicks Connect with Clever, and then We've authorized Melaa in Clever.
- We confirm the requester works for your district and link your Clever district to your Melaa account, usually within one business day. Nothing syncs, and no one can sign in with Clever, before that.
- If your Melaa account covers only part of your Clever district (for example one complex area of a statewide district), tell us which schools; we link just those, and another Melaa account can take the rest.
Melaa stores your district's Clever credential encrypted and uses it only for roster sync.
Step 4 - First sync and staff sign-in
- Once Settings shows Connected, click Sync Now (after that the sync runs every night). Admin → Rosters shows what came in.
- Staff can sign in three ways: the Melaa icon in the Clever Portal, a Clever Instant Login link your district posts, or Log in with Clever on melaa.app/login.
- A staff member's first Clever sign-in creates their Melaa account, always at teacher level. Your Melaa admin grants admin roles in Admin → Staff. Existing Melaa users are matched to their Clever account automatically.
- Students who stop being shared or leave the roster are marked no longer enrolled (their records are kept) and return if Clever shares them again. A school that leaves the share is hidden from Melaa's school lists the same way and returns if shared again. A class missing from two nightly syncs in a row, or whose term ended more than two weeks ago, is closed and its teacher links are removed.
- Melaa logins need a plain email address. Staff whose Clever email has a space or an accented letter (such as ñ) cannot get a login; each sync lists them in Settings so your district can correct the email or your Melaa admin can invite them with a different one.
Step 5 - Add ACCESS scores
Rostering brings in who your students are, not their scores. In Admin → Assessment Data, upload your ACCESS score file (a CSV export such as your DSR works). Rows match the rostered students automatically by State Student ID, and teachers see the scores, CAN DO profiles, and AI supports immediately.
What Melaa receives from Clever
- Schools: names and Clever IDs.
- Students you share: names, grade, school, Clever ID, SIS and state student IDs, and, when your district allows those fields, EL status and home language.
- Teachers, staff, and district administrators: names, email addresses, Clever IDs, and schools, used to match or create their Melaa login.
- Sections, terms, and enrollments: section names, subject, grade, term dates, and which students and teachers are in each.
- At sign-in: the person's Clever ID, district, name, email, and role.
Full details, including every subprocessor, are on our Data Sharing page and in our Privacy Policy. To pause or remove the connection, remove Melaa in your Clever dashboard and email info@melaa.app; we'll confirm. Your Melaa admin can also disconnect from Settings, with the option to delete the synced data.
