Notes, Accommodations, Service Log & Language Plans (Teacher View)

Record observations, suggest accommodations, log the service sessions you deliver, and use the student's signed language plan.

Notes

  1. Click "Notes" in the Student Profile panel to read and add observations.
  2. By default your notes are visible to you and your school/district admins - not to other teachers (your district can change this).
  3. You can also click "Save as note" under any AI chat response to attach it to the student's record.

Suggest an accommodation

  1. Inside Notes, click "+ Suggest an accommodation".
  2. Pick classroom or state testing, choose from the list (or describe a custom one), and add a sentence on why it would help.
  3. Your suggestion goes to your admin for approval and appears in the notes stream. Once approved, it shows as a green chip on the student's profile and the AI assistant automatically honors it.

Log service sessions

  1. Click "Log service" in the Student Profile panel to record a session you delivered. The date defaults to today; add the start time if you like, pick the minutes (15, 20, 30, 45, 60, or type your own), the setting, the language domains you worked on, and a short focus such as the language objective.
  2. Attendance is set per student: Present, Absent, or Partial with the minutes they attended. If the session didn't happen, tick "Mark session missed" and pick the reason; it counts as 0 minutes.
  3. "Repeat last session" fills the form from the last session you logged (minutes, setting, domains, focus, and in a group the same students). Check the date and attendance, then save.
  4. For a group, open Groups and choose "Log a session". Pick students from your caseload (filter by class section or search), or start from the group or classes you already have selected. Grouping is set from the number of students and you can change it.
  5. The History tab shows the plan's minutes per week against what was delivered over the last 4 weeks, a 12-week chart, and your sessions. You can edit or delete a session you logged for 30 days; after that, ask an administrator.

You can log sessions only for students assigned to you. Session notes are staff records and are never sent to the AI assistant.

The student's language plan

  1. When your district signs a student's language plan (ELD Plan/ILP), a green chip appears in the Student Profile panel - click it to read the plan.
  2. The signed plan also feeds the AI assistant, so suggestions follow the plan's goals, services, and accommodations automatically.
  3. Plans are read-only for teachers; contact your ML coordinator to request changes.

Work samples (only if your district turns them on)

  1. When your district allows teachers to add work samples, a "Work samples" button appears in the Student Profile panel for students on your roster. If you do not see it, your district has not turned this on.
  2. Click it, then "Add work sample". Drop in a file, choose one, or on a phone use "Take a photo" to photograph a worksheet. PDF, JPEG, PNG, WEBP, HEIC and Word (.docx) files up to 15 MB are accepted.
  3. Give it a title and the date of the work, tick the domains it shows, and add the class or assignment, a description, and what it shows about the student's language use.
  4. Cover or remove other students' names before you upload. Melaa warns you if what you type looks like it contains a name, but it cannot see names inside the file.
  5. Click a sample to see its details, open it, or download it. You can delete your own uploads for 30 days; after that, ask an administrator.

Work samples are never sent to the AI assistant, and every time one is opened it is recorded in your district's audit log.
